Monday, 8:55. Your team arrives and the bins are still full from Friday, there are mugs in the staff kitchen sink and the toilet is out of paper. At 9:00 the first client walks in. Nobody says it out loud, but everyone sees it.
In an office, cleaning goes unnoticed when it’s done well. You notice it when it isn’t. Here’s how often to clean for your type of business, when to do it, what it should include and what to ask before hiring a company in Jerez.
How often to clean an office, by type of business
There’s no single answer. It depends on how many people pass through each day and what gets used most. Here’s a starting point:
| Type of business | Usual frequency | What it needs most |
|---|---|---|
| Small practice (2–4 people) | Once or twice a week | Toilet, staff kitchen and floors |
| Office with staff every day | Daily or several days a week | Toilets, staff kitchen, bins |
| Clinic or beauty salon | Daily | Disinfecting contact surfaces |
| Shop or street-level premises | Daily or every other day | Shop window, entrance and floors |
| Gym | Daily or in shifts | Changing rooms, showers and floors |
If you’re torn between two options, look at the toilets and the staff kitchen: they get dirty first and they’re what people notice. An office of five can need more cleaning than an office of ten if it receives clients all day.
Before opening, after closing or during the day?
Each time slot has its logic:
→ Early, before opening. The team arrives and everything is ready. It’s the easiest option for offices that open at 8 or 9, like many in central Jerez or on Avenida Álvaro Domecq.
→ In the evening, after closing. Cleaning with nobody around and more time. Ideal for shops, clinics and gyms with evening hours.
→ At weekends. Useful for deeper cleans: windows, corners or rooms that can’t be cleared during the week.
→ Top-ups during the day. A quick pass of the toilets, staff kitchen and reception in the middle of the day, without disturbing anyone. For busy offices or those open to the public.
The usual approach is to combine them: a full clean outside working hours and, if needed, a short top-up during the day.
What office cleaning should include
When you ask for a quote, check that these tasks are included:
- Desks, workstations and meeting rooms: surfaces free of dust and marks, chairs tucked in.
- Toilets, disinfected: toilets, basins, mirrors and paper and soap restocked.
- Staff kitchen: worktop, sink, microwave and the outside of the fridge.
- Floors: vacuumed and mopped, under the desks too.
- Interior glass and shop windows, which for street-level premises are the first impression.
- Bins and recycling, emptied and with a fresh bag.

What almost always gets forgotten
The things touched most are the things cleaned least: keyboards, mice and phones, door handles, light switches, air-conditioning remotes, the lift button if there is one and the staff fridge handle. Ask for them to be on the list. You’ll notice the difference in cold and flu season.
Protocols for each type of business
Cleaning a practice isn’t the same as cleaning a clinic. We adapt products and tasks to each business:
- Clinics and beauty salons. Disinfecting contact surfaces: treatment beds, chairs, counters, handles. And working from the cleanest areas towards the most used.
- Gyms. Changing rooms, showers and floors come first. With humidity and heavy use, they need more frequent cleaning.
- Shops. The window and the entrance are what matter. Glass covered in fingerprints or a dirty doormat puts people off.
- Law firms, accountants and agencies. As well as cleaning, confidentiality: papers on desks that aren’t touched, and staff who know that.
- Bars and hospitality. Floors, toilets and customer areas before opening, when they can be cleaned properly without rushing.
- Offices open to the public. Reception, waiting room and client toilet always spotless, even if that means a midday top-up.
Signs your current cleaning isn’t working
Sometimes the problem isn’t the frequency but how it’s done. If you recognise several of these, it’s time to review:
- The toilet smells on Monday, even though it was cleaned on Friday.
- There’s dust on the screens and the high shelves.
- The bins get emptied, but the inside of the bin stays dirty.
- The entrance glass almost always has handprints.
- Nobody knows exactly what’s cleaned each day or who to tell.
- The team ends up cleaning the staff kitchen themselves.
Almost all of it is solved with a written task list, a frequency that matches real use and someone who checks.
What to ask before hiring a cleaning company
Before you sign, ask for these answers in writing:
- Is there a minimum term? A monthly contract is better, with reasonable notice to cancel.
- Do you issue a VAT invoice? Essential for any company or self-employed professional.
- Are the staff insured? In case something gets broken or there’s an accident.
- Will you sign a confidentiality agreement? If you handle client or patient data, ask.
- Will you come and see the space before quoting? Without knowing the floor area, the toilets and the schedule, any price is a shot in the dark.
- What happens on bank holidays or when we’re closed? Make sure it’s clear whether the visit is moved or deducted.
- Who do I call if something isn’t right? One contact who responds quickly.
With those answers, comparing quotes is much easier. The price depends on the floor area, the number of toilets, the frequency and the schedule, so two offices of the same size can have very different quotes.

Frequently asked questions
How often should an office be cleaned?
It depends on how it's used. An office with staff every day and clients coming and going usually needs daily or almost daily cleaning; a small practice can do well with one or two cleans a week. The toilets and the staff kitchen set the pace: the more they're used, the more often they need cleaning.
Can an office be cleaned during working hours?
Yes. Most cleaning happens before opening, after closing or at weekends, so the team arrives to a clean space. But top-ups can also be done during the day (toilets, staff kitchen and reception) without disturbing staff or clients.
What does office cleaning include?
It normally includes desks, workstations and meeting rooms; toilets and staff kitchens, disinfected; floors; interior glass and shop windows; and emptying bins and sorting recycling. It's worth checking that keyboards, door handles, switches and remotes are cleaned too, as they're the most-touched surfaces.
Do I have to sign a minimum contract with an office cleaning company?
Not necessarily. At Hola Limpio we work on a monthly contract with no tie-in, a VAT invoice and 15 days' notice to cancel. Before signing with any company, ask about the contract length and the cancellation terms.
